ADMINISTRATIVE OFFICER

Job Summary

The Administrative Officer facilitates the attainment of the goals and objectives of the Certification Body by providing effective administrative, secretarial and customer service support to the Unit. The incumbent is expected to operate in accordance with an established management system and as per the requirements of any relevant international, certification and accreditation standards.

 

Core Functions:

  • Provides administrative support and assistance to the Manager of the NCBJ.
  • Prepares the reports with the stated objectives of the Unit.
  • Provides support to the Management Review process by the follow up of and close out of deliverables from process owners as per the management review procedure.
  • Conducts quarterly reviews of macro processes on a quarterly basis.
  • Assists with the maintenance of a proper records management/document control system in accordance with the relevant international standards.
  • Provides secretarial and administrative support for all meetings inclusive of scheduling and taking minutes and in consultation with the manager the preparation of the agenda.
  • Generates and follow up with service requests from the NCBJ to outsourced areas and reports on their status on a monthly basis or as required by the NCBJ’s management system process.
  • Monitors and controls items of stock held by the Unit.
  • Prepares letters, reports and documentation as required.
  • Receives and assists clients and visitors, inform the relevant officers of their arrival and direct them to appropriate places.
  • Answers the telephone, takes messages and if required, assist clients by communicating requests for services to other relevant persons.

 

Knowledge Skills and Abilities:

  • Excellent computer skills particularly in the use of Microsoft Office Suite
  • Working knowledge of office systems and records management procedures
  • Working knowledge of accreditation requirements
  • Working knowledge of minute writing techniques and document preparation [letters, reports, memos]
  • Excellent customer service and interpersonal skills.
  • Excellent written and oral communication skills
  • Ability to work on own initiative as well as in a team
  • Ability to take charge of task to achieve established goals and objectives
  • Detailed oriented with impeccable integrity
  • Knowledge of ISO/IEC 17021, ISO 9001 with emphasis on management and outsourcing (purchasing)

 

Minimum Qualification and Experience:

  • Diploma/Certificate in Administrative/Secretarial Studies or CPS Designation.
  • Computer Literate in Microsoft Office Suite
  • At least (3) years’ experience in an administrative position
